Invoices

Create invoices in seconds, customize branding and stamps, preview the PDF, send with your default Mail message, and record full or partial payments — all Encrypted by Default.

Create an invoice

  1. Go to Invoices → tap .
  2. Select a client (or add a new one).
  3. Add line items (description, quantity, rate). Totals update automatically.
  4. Optionally add tax, discount, P.O. number, or notes/terms.
  5. Preview the PDF, then send.

Tip: currency, tax rate, and date format come from Settings.

DRAFT indicator: New invoices show a purple DRAFT pill in the invoice list until a number is assigned. This makes in-progress invoices visually distinct and ensures your work is always saved — even if the app locks mid-edit.

Line items, tax & discounts

  • Line items — free-form description, quantity × rate. Supports fractional quantities (e.g., 1.5 hours).
  • Tax — per-invoice tax using your default rate; editable per document. Tax is calculated after any discount is applied.
  • Discount (per-line) — apply a discount to individual line items. Shown clearly under each item on the invoice and PDF.
  • Discount (global) — apply a percent or fixed-amount discount across the whole invoice. The totals block shows: Subtotal → Discount → Tax → Total so clients can see exactly how the math works.

Discount labels are formatted for clarity — percent discounts show as Discount (30%) and fixed-amount discounts show as Discount ($1.00) so there is never any ambiguity for your client.

Purchase Order (P.O.) field

When a client provides a Purchase Order number, you can add it directly to the invoice. The P.O. line appears under the Invoice # in the header of the invoice and exported PDF.

Enable or disable the P.O. field in Settings → Invoice Layout. When disabled, the field is hidden from both the invoice editor and the PDF — keeping invoices clean for clients who don't use P.O. numbers.

Invoice layout fine-tuning

Titanium Invoice™ gives you precise control over invoice layout directly from Settings → Invoice Layout. All adjustments are reflected live in the Settings preview and carry through to exported PDFs and emailed attachments — what you see is exactly what your client gets.

  • Logo Scale Fine-tune the size of your logo in the invoice header.
  • Logo Vertical Offset Nudge the logo up or down to align it perfectly with your header.
  • Bill To Position Place the client address block on the left or right under the invoice header.
  • Bill To Vertical Offset Adjust the vertical position of the client address block with a safe minimum gap above line items.
  • Line Items Vertical Offset Control the spacing between the header area and your line items table.
  • Bottom Block Vertical Offset Fine-tune the position of the totals and footer section.

Country names are normalized on invoices — US users see "US" rather than "United States", and UK users see "UK" rather than "United Kingdom", keeping client address blocks clean and compact.

Branding & stamps

Invoices reflect your brand from Branding (logo, colors, and contact info). You can also control the "Paid" stamp in detail:

  • Stamp selection — choose the style that fits your brand.
  • Position — place the stamp using presets or drag it to an exact position.
  • Position lock — lock the stamp in place to prevent accidental movement when scrolling Settings.
  • Rotation — rotate the stamp to any angle.
  • Color, brightness & opacity — tune visibility across different invoice color schemes.
  • Scale — make it noticeable but not overpowering.

Preview as PDF

Use Preview PDF to verify layout, branding, stamps, and all line items before sending. What you see is exactly what your client receives. In light mode, the preview renders with subtle depth so the page reads as a distinct physical surface.

Send the invoice

  1. Tap ShareEmail to open Mail with the PDF attached.
  2. Subject and body use your Default Mail Message (set in Settings → Email), with placeholders like [FirstName], [InvoiceNumber], and [Total] filled automatically.
  3. If you have a Client Review Request enabled, it is appended to the email body automatically — never on the PDF.
  4. Review and send — or share via any app on your device.
Privacy prompt: when exporting a PDF or CSV, Titanium Invoice™ warns you before data leaves the encrypted store and requires authentication. Confirm recipients and handle files with care.

A toast confirmation appears after sending so you always know the email went through.

Record payments

Payments are recorded directly on the invoice. Full and partial payments are both supported — add as many payments as needed until the balance reaches zero. When the balance hits zero, the invoice status changes to Paid and the Paid stamp appears on the PDF automatically.

Each payment records the amount, method (Cash, Check, Card, ACH, and more), and an optional note or check number for reconciliation.

Security & privacy

  • On-device — invoice data is stored locally and encrypted at rest. See Encrypted by Default.
  • Sync — if enabled, data follows TNO with pre-egress encryption before iCloud sees it.
  • Exports — PDF and CSV shares require authentication before the file leaves encrypted storage. See Reports & Exports.
  • Lock safety — if the app locks while you are editing an invoice, you return to exactly where you were after authentication. Your work is never lost.
