Quotes → Invoice

Turn accepted quotes into invoices with a single tap. No re-typing, no risk of errors — Titanium Invoice™ carries over line items, totals, and client info automatically.

Quote Status

Draft Sent Accepted Converted
  • Draft — working copy, not yet sent to the client.
  • Sent — shared with the client by email or export.
  • Accepted — the client approved the quote.
  • Converted — a new invoice was created from this quote.

Quote PDF language

Quote PDFs are clearly distinct from invoice PDFs so your clients are never confused about whether payment is due.

  • The totals section shows "Estimated Total" rather than a balance due.
  • A line reads "No payment due at this time" — unambiguous and professional.
  • Quote PDFs use quote-specific filenames so they are easy to identify in Files and Mail.

When a quote is converted to an invoice, the resulting invoice PDF uses invoice headers, invoice numbering, and invoice totals language — the distinction is automatic.

Quote email templates

Quote emails use completely separate subject and body templates from invoice emails — so the message your client receives matches the document they are looking at.

Configure quote email templates in Settings → Email. The same placeholders are supported:

  • [FirstName], [LastName]
  • [InvoiceNumber]
  • [Total]

A toast confirmation appears after sending so you always know the quote email went through. Converted quotes that become invoices automatically switch to invoice email templates on send.

Convert workflow

  1. Open the quote (Sent or Accepted).
  2. Tap Convert this Quote to an Invoice.
  3. Review the new invoice — client, date, line items, taxes/discounts, and notes are all copied over.
  4. Preview the invoice PDF, then send.

Free vs Pro: each client includes a free quote conversion allowance. Upgrade to Pro for unlimited conversions across all clients. The paywall appears at the moment of conversion and clearly explains what the limit is and why.

What carries over

  • Client and document date.
  • All line items, quantities, and rates.
  • Taxes, discounts, and notes.
  • Branding — logo, colors, and relevant settings.

Invoice slot tracking increments on conversion, so your per-client invoice limits remain accurate across both directly created and converted invoices.

Security & privacy

  • Encrypted by Default: quotes and invoices are stored locally and encrypted at rest. See Encrypted by Default.
  • Sync (optional): if enabled, data uses TNO principles with pre-egress encryption before iCloud.
  • Exports: sharing a PDF or CSV creates an unencrypted file you control — a confirmation step appears before any file leaves the encrypted container.
  • Lock safety: if the app locks while you are editing a quote, you return to exactly where you were after authentication.
